1. Overview
The Force Fest 2K26 Discord Bot (“the Bot”) operates in the official Force Fest Discord server to manage participation, registrations, event roles, moderation, and related event functions.
2. Information we collect
When you use the Bot, we may collect and store:
- Your Discord user ID and username or display name
- Your full name and school name provided during Force Fest registration
- The events you select, registration details, and update timestamps
- Discord invitation or join-history information where technically available
- Moderator notes, Guest Login status, and event, Verified, or Guest role information needed to operate the Bot
The Bot does not ask for your Discord password or access your private Discord messages.
3. How we use information
Information is used to register participants, record selected events, assign and manage event-specific, Verified, and Guest roles, restore eligible roles when a member rejoins, identify members for administration and moderation, maintain moderator notes, track invitations where available, prevent duplicate registrations, process corrections or deletions, and operate and secure the Discord server.
4. Data sharing
We do not sell personal information. Information collected through the Bot may be available to authorized Force Fest administrators, moderators, organizers, and technical operators who need it to run the event and server. It may also be processed by the hosting or database providers used to operate the Bot.
5. Data retention
Registration and related information may be retained for as long as reasonably necessary to run Force Fest 2K26 and maintain accurate event records. Authorized administrators can remove registration data through the Bot’s registration-management tools. Security, moderation, and audit records may be retained separately where reasonably necessary.
6. Corrections and deletion requests
You may request a correction or deletion of personal information linked to your Discord registration by contacting Force Fest organizers or an authorized server administrator at forceapj@gmail.com. Requests may require reasonable verification, so data is not deleted or disclosed to someone without authorization.
7. Students’ information
Force Fest may be attended by school students, including people under 18. The Bot is designed to collect only information reasonably needed for event administration. Parents, guardians, students, and school or event representatives may contact organizers with questions or concerns about personal information.
8. Security
Reasonable technical and organizational measures are used to protect stored information from unauthorized access, alteration, disclosure, or destruction. No online service or storage system can guarantee absolute security.
9. Updates and contact
